Position Summary
The Contracts Administrator supports executive leadership by managing the full contract lifecycle for projects. This role works closely with the COO to ensure contracts are accurate, compliant, and efficiently executed. The ideal candidate is detail-oriented, organized, and comfortable handling sensitive and time-critical agreements.
Key Responsibilities
Prepare, review, track, and manage contracts, amendments, and service agreements
Support the COO with contract administration, documentation, and executive-level coordination
Maintain contract templates, standard terms, and internal approval workflows
Coordinate contract execution, including signatures, renewals, expirations, and amendments
Ensure contracts align with regulatory requirements, internal policies, and risk guidelines
Act as a liaison between legal counsel, sales, project teams, and operations
Track contract milestones, obligations, and deliverables
Maintain organized contract records and digital filing systems
Assist with RFP reviews, vendor agreements, NDAs, and compliance documentation
Support audits, reporting, and internal reviews related to contracts
Qualifications
5+ years of experience in contract administration from heavy civil or general contractor
Experience supporting senior leadership or executive teams preferred
Familiarity with contracts in engineering, construction, utilities, or environmental services is a plus
Strong attention to detail and document accuracy
Ability to manage multiple deadlines and prioritize effectively
Professional communication skills across technical and non-technical teams
Comfortable handling confidential and sensitive information
